VENDOR REQUIREMENTS
In order to enter The Bell Tower on 34th you must adhere to the following company policies.
All policies that apply to vendors also apply to friends or members of the family that may be providing decorations or other services such as floral, linens, cake, DJ services and the like.
The client has agreed to provide a full and complete list of outside vendors utilized, if any, and provide complete contact information for each. The client has already agreed to assume all financial responsibility for uninsured vendors which are not provided through The Bell Tower on 34th.
The Bell Tower on 34th and staff will not be responsible for vendor deliveries or sign for vendor rentals when they are not a part of the agreement.
All items used in decorating must be removed at the conclusion of the event. If you do not clean up after yourselves your client will automatically be billed.
The Bell Tower on 34th must have your current insurance paperwork on file one week prior to the event setup. insurance must be kept current. The Bell Tower on 34th must have insurance of any and all subsequent suppliers and/or sub vendors.
THIRD PARTY CATERING IS NOT PERMITTED.
EXTENDED HOURS:
The client has already agreed in writing, including early load-in/setup: ANY EVENT exceeding the arrival, start and end times in this agreement, whether early or late, will incur an automatic charge of $500 per hour/per event room plus applicable charges for all required staff brought in early or held late. Bar overtime will also be billed automatically to the master account (subject to availability). If/when an overlap option has been purchased for $2000, the extended hours rate does not apply until after 6 p.m. This policy is strictly enforced and in full effect.
LOAD-IN:
Do not load in at the front door. (Even if it is two hours before the event starts).
All vendors need to load in at the back of the facility. Do not use valet parking or park in the front areas.
All vendor employees and staff must park in the designated vendor parking area
Tall vehicles are not allowed to enter in the main front driveway. You must check in or call ahead to have the service gate opened for you.
If the gates are closed, please remain on the street side with the hazards on, while you request the gate be opened for you.
If you need more than three dedicated 20 amp circuits you need to make prior arrangements with the Bell Tower staff.
Vendors, employees and staff need to be in a uniform during an event. Please dress clean and professional and do not wear jeans or t-shirts during events.
Vendors are required to clean up when your part of the event is completed.
Fireworks, snow, and fog are not permitted at The Bell Tower On 34th.
SETUP:
If you notice any damage to the facility, report it immediately.
Use of duct tape is NOT allowed at the Bell Tower.
The Bell Tower does not provide safety pins, Velcro, tape, extension cords, printing copies, staples, pens, or any other supplies for vendors.
Attaching anything to the building walls ceiling or floor must be pre-approved.
If you require more than three 20 amp circuits for your setup, please visit the facility prior to the day of the event.
DURING THE EVENT:
Use of alcohol by vendors or their staff members during an event is not allowed.
Vendors may not smoke in front of guests.
Trash is not to be carried through the ballroom during an event.
BREAKDOWN:
Do not leave items overnight.
Items need to be removed by the end of each event unless otherwise pre-approved.
All trash is to be taken to and placed inside of the dumpsters.
VENDOR PROGRAM
If you are invited to be a part of our vendor community. There is NO FEE to be added to our directory.
HOW IT WORKS!
You must maintain current certificate of liability insurance. If your insurance expires, you are off the list.
You must have a business domain and URL.
You must offer Bell Tower clients a special price, or a special offer.
You may not offer a discount or giveaway for any similar products or services The Bell Tower on 34th already offers:
No food or beverages, except wedding cakes.
Chargers.
Votive candles or floating candles.
GOBO or monogram projection.
Projections of any kind.
Flat screen TVs.
Pattern lighting.
Dance floor lighting.
Column lighting.
Accent lighting.
Microphones.
Step and repeat.
Red carpet.
Podiums.
Staging.
Space heaters.
Photobooths or related offers.
"Day Of" coordination services.
You must cooperate with our load in process and adhere to our vendor requirements (click here to view).

Send us your certificate of liability insurance. We will provide links to insurance providers, if you need help.

REMOVAL FROM THE DIRECTORY
You may be removed from our vendor directory for any of the following if there is a dispute, unhappy clients, refusal to offer a special price or offer to Bell Tower clients or if the certificate of liability insurance has expired and was not updated.
BELL TOWER GROUP, LLC DOES NOT GUARANTEE RESULTS FROM YOUR PARTICIPATION IN OUR VENDOR PROGRAM. IT IS UP TO YOU TO MARKET AND PROMOTE YOUR OWN BUSINESS! YOU MAY ASK TO BE REMOVED FROM OUR VENDOR COMMUNITY AT ANY TIME.
Vendor INSURANCE REQUIREMENTS
We offer Vendor Liability Insurance for vendors do not have vendor liability insurance.
All vendors are required to provide a certificate of liability insurance naming:
Bell Tower Group, LLC d/b/a The Bell Tower on 34th and Keep on Going, LLC 901 W 34th St. Houston, TX 77018
as additional insured with a waiver of subrogation and containing a minimum limit of $1,000,000 per occurrence and $2,000,000 in the aggregate, at least two weeks prior to event date.

OUTSIDE PLANNER AGREEMENT
THERE WILL BE ONE POINT OF CONTACT THROUGH THE END OF YOUR EVENT.
IF YOU ARE THINKING OF GETTING A PLANNER THESE ARE THE RULES.
Planners (as well as any other vendor) which have been certified by The Bell Tower on 34th are automatically approved and are not required to sign an outside planner agreement. Planners who have been certified by The Bell Tower on 34th will carry the seal of authenticity at their place of business and possibly on their website.
The Bell Tower on 34th does not acknowledge or allow self-described planners who have an email address ending in @gmail, @yahoo, @outlook, etc. Valid planners are required to have a domain, a website, and insurance. This is in your best interest and ours.
The Bell Tower on 34th requires the following no later than 30 days prior to event date(s):
Provide complete contact information for the planner and an executed copy of the agreement between you and the planner.
A release from you changing the single point of contact from you to the planner, placing them in complete control of your event decisions including financial decisions.
The planner will remain the sole single point of contact with the venue from that point forward.
If your planner becomes the single point of contact, the planner must agree to become financially responsible as a cosigner for the event by signing the Bell Tower on 34th contract.
The planner must turn in a final signed floor plan, timeline and menu at least 30 days before your event.
The planner must provide a complete list of all vendors and their contact information at least 30 days prior to the event.
The planner must provide all required certificates of liability vendor insurance to the venue. Band, DJ, lighting, florist. We must have the planners Certificate of Liability Insurance as well as Errors and Omissions Insurance on file prior to acceptance.
Provide a final copy of the invitation no later than 30 days before the event, prior to printing and mailing.
Planner must set up a meeting with the Bell Tower on 34th event producer to review details no later than 21 days before the event.
Planners may not instruct any vendors or guests to arrive earlier than the contracted times.
Planners may not deliver or arrange to have delivered any rentals or event items before event load-in time.
